Internal tools

An internal tool built around your work. For when spreadsheets and ready-made software stop fitting.

We build internal tools and small platforms for companies whose work has outgrown spreadsheets and ready-made software. Customers, jobs, quotes or products live in one place, and each person sees what their job needs. Often it is enough to connect the tools you already have, and the free audit call is where we find out.

What we build

Six jobs a tool does better than a spreadsheet. Each one before and after.

Most companies run on spreadsheets, email and a few ready-made apps that do not talk to each other. These are the places where that usually breaks, and what we build instead.

The whole business runs on one spreadsheet

Today
Every job sits in one shared spreadsheet. Columns get overwritten, nobody knows which version is right, and on a phone it is almost impossible to edit.
With the tool
A simple tool where every job has its own form, fields that cannot be skipped and one list everyone sees, on a computer or a phone.

Customers live in five places

Today
Contacts are spread across inboxes, phones and old spreadsheets, so nobody sees the full history of one customer.
With the tool
One customer list where every call, email and quote lands on the same customer.

The same data is typed in twice

Today
Every week someone copies orders, prices or product details by hand from one system into the next, and mistakes stay in.
With the tool
An import reads the file, checks every row and holds back anything that looks wrong until a person has looked at it.

Every change needs a developer

Today
Changing a product, a price or a text means writing to someone and waiting.
With the tool
Your team can change the things they change often. Bigger changes go through us.

Things slip through the cracks

Today
A quote goes out, the customer goes quiet and nobody remembers to write again. Or a deadline passes without anyone noticing.
With the tool
The tool notices when a date has passed and reminds the right person what the next step is.

Reports are put together by hand

Today
Every Monday someone collects numbers from three places into one spreadsheet.
With the tool
The report builds itself from the data already in the tool.

How it fits together

The data lives in one place, and every tool reads it from there.

An internal tool is only as good as the data under it. We start from where your data comes from today and bring it into one database, so every screen, reminder and report shows the same picture.

From scattered data to one picture
  1. Where the data comes from

    • Website forms
    • Emails and files
    • Spreadsheets you keep
  2. One place for the data

    • Customers
    • Jobs and quotes
    • Products

Every record exists once, and we set it up to log every change.

  3. Tools for your team

    • Lists and forms
    • An editor
    • A phone view
  4. Reminders and reports

    • Follow-up reminders
    • Weekly report
    • A flag on a late invoice

Connecting systems without a new tool is our automation work. Often that is the first step.

Our own systems

We run our own company on these. We built them and use them every day.

These are our own systems, not client work. Our own data and our prospect demos run on them every day.

  • Our own server for our data

The data behind our customer list, forms and bookings moved off a rented tool onto a server we run ourselves.

  • Demo publishing

One command turns a demo site into an unlisted preview link and archives its source.

Shown as proof of what we build. No client data appears here.

Buy, connect or build

We tell you when new software is the answer, and when it is not.

Ready-made software fits most work. We only recommend building when your work really is different, and we say so on the audit call.

How a build goes

Small first, then one part at a time.

Four steps. We agree the scope and the dates in writing after the audit.

Example
  1. Step 01

    Audit

On a free 30-minute call we look at how the work moves today, where it gets stuck and whether you need new software at all.

    Audit notes
    • How the work moves today
    • Where it gets stuck
    • Who does what
  2. Step 02

    Plan on paper

We write down what the tool must do and who uses it. Then we agree what data it holds and who may see or change it.

    Data plan
    CustomerJobQuoteProductUser
  3. Step 03

    First version

We build the smallest useful part and try it on your real data with the people who will use it.

    Checks
    • Works on real data
    • Each person sees what they need
    • Every change is logged
  4. Step 04

    Next parts

We add the next part only once the first one is in use. We test every change before it goes live.

    Release
    • First version in use
    • Next: reminders
What stays in your hands

Your data, your rules.

We can run the tool for you or hand it over. Either way, the data stays yours.

  • Export

    The data stays yours

We set the tool up so you can export all of it at any time, in a format other software can read.

  • Access

    You decide who sees what

We set up each person's access to fit their job. Deleting records and anything to do with money can be left to the people you choose.

  • Log

    A log of every change

We set the tool up to log every change, with who made it and when.

  • Handover

We run it, or you do

We host and update the tool, or hand over the code, access and instructions if you want to run it yourselves.

Internal tools · FAQ

Six questions before we start.

Straight answers on price, time, the tools you have, AI and ownership.

What does a custom tool cost?

We price the work after we understand it. The audit call shows what the tool needs to do, and the written offer names the price before any work starts.

How long does it take?

It depends on how much the first version has to do. We agree the dates in writing after the audit, and you see the first version working on your own data before we build further.

Do we need new software at all?

Often not. If a ready-made tool fits, or connecting the tools you already have solves it, we tell you on the audit call.

Can it work with the tools we already have?

Usually, yes. We check what your accounting, e-shop or booking software can share, and connect the tool to it instead of replacing what works.

Is there AI in it?

Only where it saves time, and a person checks the result before it goes anywhere.

Who owns the tool and the data?

The data is yours, and so is the code once it is handed over. We run the tool for you, or hand over the code, access and instructions so your team or another developer can take it over.

kratt takes AI in companies from an initial idea to a reliable system. Based on the audit, we define where AI pays off and start development where the return is highest.
