Sales systems

One sales system, end to end. From the first lead to the signed deal.

In most businesses, leads sit in a spreadsheet, messages in someone's phone and follow-ups in someone's head. We connect the pieces into one system, so leads are found, answered and followed up, and you see all of it in one place. Your team keeps the conversations that close deals.

How it works

How the pieces connect. Four stages, one place for all your leads.

Leads arrive from lists, your website, email and Instagram. They all land in one customer list (CRM), where each one is sorted and sent to the right person, and the follow-up keeps going until there is a clear yes or no.

From first contact to signed deal
  1. Where leads come from

    • Lead lists
    • Website and email
    • Instagram messages
  2. One place for all leads

    • CRM

The system sorts each lead, ranks how ready it is to buy and sends it to the right person.

  3. Follow-up keeps going

    • Email series
    • Instagram replies
    • Old leads and past customers
  4. Calls and deals

    • Booked calls
    • Quotes
    • Follow-ups

The weekly report reads from the same CRM: what came in, what turned into a deal and what is stuck.

What we build

Six systems, one cycle. Each one before and after.

Each system plugs a place where leads get lost today. We start with the one where the most leads get lost, then connect the next.

Lead lists

By hand today
Someone searches Google for companies that might buy and copies their contacts into a spreadsheet, a few at a time.
Automated
Every week a fresh list of companies that look like your good customers arrives, with contacts and a note on why each one fits.
Lead list · this weekExample
CompanyContactWhy it fits
Renovation company, TallinnKadri, ownerSame trade and size as your best customers
Roofing company, TartuMarko, sales leadWorks on the same kind of homes
Window installer, PärnuLiis, ownerOpened a second office this year

Each company is saved to the CRM with its contacts.

New inquiries

By hand today
Someone reads every email and form, copies the details into a spreadsheet and replies when there is a spare minute.
Automated
Each inquiry is saved and sorted as it arrives, the customer gets a first reply right away, and the right person gets a note.
New inquiriesExample

Instagram messages

By hand today
Messages pile up in the Instagram inbox, and the answer depends on who has the phone.
Automated
Common questions get an answer straight away. The system asks interested people a few questions, offers a time for a call and saves the chat with the rest of your leads.
MessagesExample
Eva
  1. Hi! What does a small bathroom renovation cost?

  2. It depends on the size and the materials. Two short questions so we can tell you more:

  3. How big is the bathroom? When would you like to start?

  4. About 5 m². We would like to start in the spring.

Want to talk it through? Pick a time for a call.

Email series

By hand today
A new lead gets one email and then nothing, because nobody has time to write the next ones.
Automated
Each lead gets a short series of emails about what they asked for. It stops by itself when they reply or book a call.
Email series · EvaExample

  2. Day 2How a renovation goes, step by stepSent
  3. Eva replied: Could we talk on Thursday?
  4. Day 5Shall we pick a time for a call?Stopped

She replied, so the series stopped by itself.

Old leads and past customers

By hand today
They sit somewhere in a list that nobody opens anymore.
Automated
The system picks out who is worth contacting again and sends each one a personal message. Replies go straight to the right person.
Old leads and past customersExample

Kristi replied: Yes, we are ready to start now.

The reply goes straight to Tiit.

Follow-ups

By hand today
A quote goes out, the customer goes quiet, and nobody gets back in touch.
Automated
When a customer has not replied in a few days, the right person gets a reminder with a message ready to send.

One lead, start to finish

One lead through the whole cycle. Each step lands in the same record.

An example from a renovation company. A question on Instagram becomes a signed job, and each system writes to the same lead in the CRM.

You stay in charge

What stays in your hands.

The system does the typing and the reminding. The decisions, the prices and the sales conversations stay with your people.

  1. You approve every text

Replies, email series and reminders use texts you have approved, and nothing new goes out without your OK.

  2. Only the right people

Email series and messages go to people who wrote to you or agreed to hear from you. Lead lists contain only companies, not private people, and anyone can stop further emails with one click.

  3. One place for everything

Leads, messages and deals sit in your CRM, so you can see what happened with each one.

  4. It is yours

The CRM, the contacts and the texts belong to your company. If we part ways, they stay with you.

How a build goes

One system at a time.

Four steps. We agree the dates in writing after the audit.

  1. Step 01

    Audit

On a free 30-minute call we look at where your leads come from today and where they get lost.

  2. Step 02

    First system

We pick the place where the most leads get lost and agree in writing what the system does there and how we measure it.

  3. Step 03

    Build and test

We build it with your tools and your texts, and test it on your past inquiries before it goes live.

  4. Step 04

    Connect the next

When the first system runs, we connect the next one, and fewer leads get lost with each step.

Sales systems · FAQ

Six questions before we start.

Straight answers on where to start, tools, lead lists, messaging, ownership and price.

Do we need all six systems?

No. We usually start with the one place where the most leads get lost, and connect the next system once the first one runs.

Which tools does it work with?

The CRM, email and Instagram business account you already use, where each platform allows it. If you have no CRM yet, we set one up. On the audit call we look at what you have and what is worth connecting first.

Where do the lead lists come from?

From public business sources such as registers, company websites and directories. We look for companies that look like your good customers.

Can it answer and message people automatically?

Yes, people who wrote to you or agreed to hear from you. Common questions get an answer from texts you approved, and anything unusual goes to the right person.

Who owns the CRM and the data?

Your company. The CRM, the contacts and the texts are yours, and if we part ways, they stay with you.

What does it cost?

We price the work after we understand it. The free audit call shows which system is worth building first and what it would include.
